New Hire Checklist
Before You Begin
The items below may be completed in any order.
- Submit your signed offer letter. You must reply to your offer by signing and returning the offer letter.The letter will include your start date,position title, salary, and confirmation of the terms of probation. This will initiate your background check.
- Complete your background check.You will receive an email from OneSource to complete the background check.Complete this at your earliest convenience as it usually takes 3-4 days to process.
- Complete pre-placement requirements. If additional requirements are needed for your position (such as a physical, drug test, or driving test), Human Resources or your department HR representative will contact you. Complete these at your earliest convenience to ensure your onboarding progresses in a timely manner.
- Complete your new hire paperwork.
- You will receive an email requesting you complete your new hire paperwork through Docusign. This includes confirmation of employment eligibility with the I-9. Don't forget to have your required documentation handy, as it's required to begin your onboarding process.
- Setting up payroll direct deposit will require you to provide a copy of a voided check or the front page of your bank statement (or other official bank document) that has the entire account number and routing number printed on it.
Plan Ahead
- Confirm with your supervisor where you should park on your first day. Contact Facilities (Ag Hall, 2nd Floor) for information on what documentation you will need to purchase a parking permit.
- Be aware of policies that provide a safe working environment for everyone. We are a Tobacco/Smoke-free, Alcohol/Drug-free, and Weapons-free Campus. The Faculty Staff Handbook is a great resource.
- If needed,plan for child care or lactation support.We support working families by providing several childcare and lactation support resources while you are working on campus. Resources are available on our website.
Before your first day
- Obtain your NUID number. Your Nebraska University Identification (NUID) number is a unique 8-digit number that is your University of Nebraska identity. Once your new hire paper work is processed, your HR representative will provide you with your NUID. You will need this number to access various services. Once you have your NUID, you may complete the steps below,even if it is before you arrive on campus. Services/accounts will be activated within 24–48 hours after you claim or activate each process.
- Claim your online identity. Go to TrueYou.nebraska.edu to claim your online identity and set the passwords for your TrueYouand MyUNL accounts. If you are affiliated with another university campus and entitled to multiple campus accounts, please contact your HR representative before claiming your online identity.
- TrueYou credentials are used at all University of Nebraska campusesand Nebraska State Collegesto access the Student Information System, SAP and Firefly.
- Your MyUNL login is used to access online services provided by the UNL campus (e.g. email).
- Lookup Your University Email.You can find your email address by logging into Firefly.nebraska.edu and clicking on Employee Self Service(ESS) and then on My Employment > Position Information, and your email will be listed in the Work Address section.
- Ask your department about other services you may need.
- Building and door access may be needed if working on campus after business hours. Facilities will check out all keys needed for your access (Ag Hall, 2nd Floor).
- If performing business processes such as finance, accounting, purchasing, or human resources management, you will need access to SAP, the University's enterprise resource planning (ERP) system.
For Academic and Learning Services, ask your supervisor about access for Canvas (Learning Management System) and MyNCTA (Student Information Portal).
Your First Day
- Attend New Employee Orientation. Schedule time with the Associate Dean’s office to go over new hire information (jmcconville2@unl.edu).
- Technology. If you are assigned a computer, university applications will be installed on your computer and can be accessed with your TrueYoucredentials. Other technologies (based on your role) may need to be set up in collaboration with your supervisor/department. If you need assistance with setting up your technology, contact your department IT Specialist or the Huskertech Help Center.
- Ask your supervisor what tools are used for communication and collaboration in your area. Zoom is often used for audio and web conferencing, but many areas utilize Microsoft Teams for chat, conferencing, and other collaboration.
- Create your signature for your emails using the Signature Generator
Your First Month
- Enroll in Benefits. If you are eligible for benefits, most employees’ benefits will become effective on the first day of the month following your start date. Your online benefit enrollment must be completed within 31 days of your hire date. Contact the Benefits Office at benefits@unl.edu or 402.472.2600 with questions.
- Obtain Your NCard, your official identification card and access to campus services. The Welcome Center in the Ed Center can help with that.
- Take required online training. All new employees are required to complete the New Employee Essentials learning journey which contains the following. To utilize training located in Bridge, you must login with your TrueYoucredentials.
- Annual Title IX Training (due within 31 days of your hire date)
- NU Annual Information Security Fundamentals (due within 20 days of your hire date)
- UNL Safety & Emergency Preparedness, and the UNL Core-Injury and Illness Prevention Plan
- Mark University Holidays on Your Calendar. If you begin work after designated floating holidays, ask your supervisor about options availableto you to fill the unaccrued time during closedown.
- Living in Nebraska means the possibility of inclement weather and the possibility of the closure of the university. Our campus uses the STUDENT SQUAD app for alerts
